For the Polish division of Veeam, this was the first joint holiday event. For many employees, this format was new, creating a risk that people would split into "interest groups" and not interact with colleagues from other departments.
The Task: Organize the evening so that guests feel free but remain involved in the shared process. We needed to find a balance between a rich program and personal comfort, avoiding the effect of "forced team building".
Event Flow
Atmosphere & Branding. We selected a spacious loft and adapted it to the company's visual identity. We played with space using light rather than banners: in addition to the classic Christmas tree, we used LED lighting in Veeam’s corporate green color. This visually unified the space and highlighted the corporate status of the event.
Engagement Mechanics. The evening started not with a seated dinner, but with native networking.
- People Bingo: At the entrance, everyone received a game card. The mechanic ran in the background all evening, helping colleagues get to know each other at their own pace.
- Custom Quiz: After the top manager's welcome, we hosted a quiz. The questions were designed specifically for the team: covering company values, internal memes, and music.
- Board Games: We placed board games in a quiet zone. Key detail: after the event, the entire set was sent to the company office, becoming part of the relaxation zone (long-term investment in HR Brand).
- Art Zone: Collaborative creation of a painting with the company name — a classic team-building element yielding a tangible result.
Finale. The evening ended with a lottery for the most active Bingo participants and a disco in a "Request Table" format, where the playlist was curated by the guests themselves.
Kitchen Event Solutions (Production & Logistics)
- Scriptwriting: We developed a timeline alternating between active and calm phases so guests wouldn't get tired or bored.
- Content Creation: Full development of content for the quiz and bingo (copywriting, design) with a deep dive into the company's specifics.
- Technical Production: We ensured professional sound and light zoning (loud music on the dance floor did not interfere with conversations in the lounge).
- Catering Management: We structured the food logistics (buffet lines + bar) to avoid queues at the start and maintain service throughout the evening.
- Moderation: The host worked as a facilitator — softly guiding the guests' attention without hogging the spotlight.
Result
This evening laid the foundation for the corporate culture of the Polish office. We proved that a corporate party can be comfortable and unobtrusive while effectively achieving the goal of uniting the team.
